The Post Completion Support Assistant provides administrative, operational, and coordination support to the Completions Support Coordinator to ensure smooth post completion activities. The role focuses on supporting customer communication, assisting with documentation and reporting, and facilitating internal and external coordination of warranty claims to maintain high customer satisfaction.

- Operational and Administrative Support
- Assist the Completions Support Coordinator in daily operational activities of the VIP warranty services.
- Prepare, update, and maintain post completion documentation.
- Support scheduling of meetings, customer calls, and internal coordination of activities.
- Support customer communication by preparing correspondence, follow-ups, and status updates.
- Monitor and track customer request and ensure timely internal routing to relevant departments.
- Maintain logs of Concession items and warranty claims.
- Track progress of open items and follow up with internal departments and external vendors.
- Prepare periodic status reports for review.
- Support closure of documentation once issues are resolved.
- Liaise with internal departments (engineering, quality, workshops, logistics, customer support) to facilitate service actions.
- Support communication with external suppliers and service providers regarding ongoing issues.
- Ensure information flow between all stakeholders remains accurate and up to date.
- Assist in tracking service-related costs, invoices, and expense documentation.
- Prepare basic financial summaries and reporting inputs for management review.
- Support data collection for cash flow and budget tracking activities.
- Weekly internal reports
- Support preparation of improvement proposals and process documentation by collecting operational data.
- Contribute to updating procedures and templates for service operations.
- Support implementation of mitigation actions as needed.
- Ensure compliance with internal procedures and quality standards.
- Proven experience in administrative or coordination roles, preferably in aviation or technical services.
- Strong organizational and multitasking abilities.
- Excellent communication skills in English; additional languages are an asset.
- AMOS skills required.
- Proficiency in MS Office tools (Excel, Word, PowerPoint, Outlook).
- Ability to work in a dynamic, customer-focused environment.
- Attention to detail and ability to manage confidential information.
- Team-oriented mindset with proactive problem-solving attitude.
- Comfortable interacting with multiple departments and external partners.
- Willingness to learn technical aspects of VIP aircraft aftercare services.
- Service-oriented personality with strong customer awareness.
- Ability to prioritize tasks and follow through on commitments.
